KeepTrack: Application User Guide

KeepTrack allows you to manage your schedule, find your contacts, exchange messages, scan badges, and much more. This guide helps you get started.

The KeepTrack app is available for free on the stores:

2 β€” Logging in to KeepTrack

Two login methods are available:

Login via QR Code Flash Config (recommended)

From your personal area (back office or email), scan your personalized QR code with the KeepTrack app: the login is immediate, with no password.

πŸ’‘ This method is ideal for exhibitors or novice users.

Login via Email

Enter the email address used during your registration. A 6-digit code will be sent to your email to confirm your access.

3 β€” Customizable home interface

Once logged in, you access the home page for your event. This page, configured by the organizer, gives you access to useful content:

  • Event program

  • Venue map

  • Personal area

  • Access badge

  • List of appointments

  • Etc.

Each event can structure this page differently according to needs. Buttons can also be shown or hidden depending on your segment or registration category.

4 β€” Key sections of the app

The different features listed and explained below may not all be present on your KeepTrack app depending on the event organizer's settings.

Profile

Your personal area with:

  • Your registration information (category, UID)

  • Your personal QR code (scan for networking or access)

  • The change event button

  • Notifications

  • Option to delete your profile


Contacts

  • Participants: the global directory of participants according to granted rights.

  • My contacts: those you have interacted with (scan, messaging, accepted request, etc.).

From this section, you can:

  • Add a contact via scan or search

  • Open their profile

  • Qualify the contact (notes, tags…)

  • Access their information according to configured rights

Exhibitors: This section centralizes all your leads during the event.


Scan

Scan participants' badges to:

  • Register a contact

  • Automatically open their profile

  • Add commercial information on the spot

  • Enrich your CRM database

Scanning works even without a network connection, with later synchronization.


Agenda (Personal calendar)

View your sessions, appointments, and activities in a clear, color-coded agenda view. This feature uses the calendar settings configured on the website:

  • Session types color-coded

  • Custom time range

  • Start on Monday if desired

Available from KeepTrack version 4.9+

Find all your exchanges with your contacts:

  • Red dots = new message

  • Black dots = unread message

  • Ability to reply directly or send a new custom invitation

You can also cancel a sent invitation if you change your mind.

Visit itinerary

Access a personalized itinerary among exhibitors, sessions, or activities based on your interests, bookmarks, or recommendations. The ideal tool to optimize your time on site.


Lead qualification

For exhibitors, each contact can be enriched directly within the app:

  • Free notes

  • Predefined tags

  • Scoring

  • Hot or cold follow-up

Adding products or collections is possible as long as your quota has not been reached.


5 β€” Additional features

  • Conditional messaging: Only authorized participants can exchange messages.

  • Display of documents and images in participant profiles (emails, links, PDFs, etc.).

  • Display or hiding of certain sections depending on your segment or role.

  • Live or in-person appointments depending on the options enabled.
