Exhibitor Leads & Dashboards

Lead management is now a real growth lever for event organizers as well as for exhibitors attending your events.

List of exhibitors

When you open the Leads tab, you arrive at the menu listing your exhibitors. Click the Synchronize participants into the exhibitors list button to update the contacts of each exhibitor present at your event.

Actions in the menu

From this menu, several actions are available on the right side of the page.

  • Search for an exhibitor Type the exhibitor's name or email address into the search bar to view them

  • Retrieve Leads lists Receive the list of scanned Leads as an Excel file per exhibitor

  • Send contacts to all exhibitors Trigger sending an email to each of your exhibitors with their respective Leads file

By clicking an exhibitor's name from this menu, you access the exhibitor's Leads list. From this view, you can download the contacts list (also possible from the previous view), edit the exhibitor as a participant and, for each Lead in the list, delete it and access the written qualification comments.

Configure lead generation

From the Leads tab of your platform, access the Lead configuration menu and check the boxes for the lead generation rules applicable to your event. If you want to add a rule that applies only to one of your registration categories, click the + Add rules for a specific category button. Finally, click the Validate button to save your changes.

There are 14 ways to generate a lead with Eventmaker :

1. Qualification fields: general operation

Until now, lead qualification relied on 3 static fields.
From now on:

  • the organizer can define default qualification fields for all exhibitors;

  • each exhibitor can then add / modify / delete their own fields according to their needs;

  • these fields will be used when qualifying a lead from the KeepTrack application (deployment forthcoming).


2. Configure default qualification fields (Organizer)

On the Leads tab, a new button allows you to manage your event's default qualification fields.

Available field types

You can create three types of fields :

  1. Free text → a simple field allowing the exhibitor to enter a message.

  2. Rating → a choice presented as 1 to 5 stars.

  3. List of values → dropdown menu with configurable options

Each field includes :

Label/Title

Type (Text, List of values or Rating)

Different options for ratings and lists.


3. Exhibitor-side management of qualification fields

In the exhibitor area (website), a new menu in the Leads section allows each exhibitor to :

  • view the event's default fields,

  • add their own fields,

  • modify existing ones,

  • delete fields that are not relevant to them.

The interface is identical to the organizer's but limited to the exhibitor.

The fields defined here will be used when qualifying leads in the KeepTrack application.

Configure lead export

Below the generation rules, you can configure the lead export, that is, the participant fields that will appear as columns in the exported file.

⚠️ All qualification fields from the KeepTrack application are exported by default and included in the file sent to exhibitors.

Edit the email template

You can also edit the email sent to your exhibitors to personalize it using fields that exist on your platform. Unlike other email communications, this one is currently configured, like the badges and documents, in HTML and Liquid code.

Exhibitor dashboard

You can allow your exhibitors to have an overview of their Return on Investment. This dashboard is located at the top of the Exhibitors sections in the Website tab.

From this section, you can enable up to 7 different dashboards. Each is independent, so you can disable those that are not necessary in the context of your event. ⚠️ These statistics are reloaded every 10 minutes; you must refresh your page to see the new statistics.

Invitation statistics

From this view, exhibitors can check their usage and the results of the exhibitor invitations module. Once invitations are sent, they can check how many guests registered and, later, how many of them attended the event.

Leads statistics

With this table, exhibitors can track the number of leads they generated before and during the event, their source and who qualified them.

⚠️ The By role, By type and By author details are linked to the lead qualification feature of our KeepTrack app. As a result, not all leads may appear in these details depending on their source.

Appointment statistics

Exhibitors can also track their appointments, whether physical or virtual. ⚠️ An appointment is considered to have taken place if at least one exhibitor and one guest attended the scheduled meeting.

Product statistics

From this view, exhibitors can see the public interest in their products and which were the most popular.

Session statistics

This view works exactly like the product statistics presented above.

Profile statistics

This statistic refers to the number of visitors who added the exhibitor to their favorites from the exhibitor's detailed view.
