Check-in points

Check-in points allow you to track participants' passages at different locations of your event (entrance, sessions, workshops, etc.).

Thanks to the associated accreditation, you control who can access what… and with the latest updates, you can even allow all guests to pass automatically.

1. Definition

A check-in point is an entity that records a participant's presence at a specific location within the event. Each badge scan (or manual sign-in) at this point creates a passage history, used for:

  • access management,

  • attendance statistics,

  • capacity and quotas,

  • calculation of attendance time.

By default, the Entrance access is created. You also have the option to create others.

2. Creating a check-in point

You have two options:

  • Manual creation via the + Add a check-in point button

  • Bulk import via Other actions > Import a list of points

Information to provide:

  • Name of the point (required)

  • Date, start time and duration (recommended for conflict management)

  • Room or location (useful for display and logistics)

  • Speakers (linked from your participant list, with status Registered)

Once the settings are defined, click Save.

3. Types of check-in

Many features of Eventmaker result in the creation of a check-in point when used. Here is a comprehensive list:

Each point is linked to an accreditations system, which you can manage:

  • At the registration form level,

  • At the website level,

  • At the level of a personal record in the Back Office,

  • At the category-by-category level,

  • or directly from the check-in point's record.

4. Exit scanning

To measure attendance duration or to perform an accurate count, you can also create an exit point.

From an existing point's record, click Actions > Create an exit check-in point.

The system will automatically create a mirror point of the initial check-in, which you can use to record exit passages.

5. New feature: allow all guests to pass

With version 2.22 of the application, you can now enable a free passage option: all guests scanned at this point will be automatically allowed to pass, even if they did not have an initial accreditation.

⚠️ This option can only be enabled if:

  • The check-in point allows scans (obviously),

  • It is free,

  • Its capacity is unlimited.

Once the option is enabled:

  1. An unauthorized participant will be automatically accredited,

  2. Then immediately checked in.
