Eventmaker now offers several mechanisms to automate and streamline participant check-in according to different contexts:

  • live access without prior registration,

  • automatic creation of check-ins via automations,

  • advanced rules to manage linked events or external sources.

This guide presents all of these features in a unified manner.


1. Live Access: auto-registration at check-in

In the settings of a Live access point, a new option is available:

Auto-register guest on check-in

(Automatic registration at check-in)

When this option is enabled and that:

  • the access point is free,

  • the access point has a unlimited capacity,

👉 Eventmaker automatically displays an "Access the live" button to the participant without asking them to register for the session beforehand.

Objective: Simplify access to live content, reduce friction, avoid the registration step.


2. Automation: automatic creation of a check-in

A new action is now available in the Automations module:

Create a check-in (Créer un check-in)

This action allows you to automatically create a check-in when a condition is met (ex. registration, manual addition, import…).

Action settings:

  1. Guest → the participant to check in

  2. Check-in point → the relevant access point

  3. Access type

    • physical (scan or physical presence)

    • virtual (live access, digital participation)

Usage example

  • When a participant registers on-site via a dedicated form → automatically create their entry check-in.

  • When a participant completes an online step → generate a virtual check-in.

  • Automatic synchronization between a third-party tool and Eventmaker.

This feature enables advanced scenarios without manual intervention.


3. Advanced check-in rules (multi-events & external sources)

Some organizations need to handle check-ins coming from:

  • another Eventmaker event,

  • an external solution (another platform, ticketing, CRM…).

Check-in rules enable this management.


3.1 Case 1: Two linked Eventmaker events

🎯 Objective: when a participant is scanned at event A, they must be created and checked in automatically in event B.

Typical example:
You organize two simultaneous events (ex: Eurofa and Eurofi) and want automatic synchronization.

Configuration:

  1. Go to Check-in points → Check-in rules

  2. In Extract the participant from another event, choose the source event
    → Example: select Eurofi as the source for Eurofa

  3. Link the categories together
    → Ex: VIP EurofiVIP Eurofa

  4. Save via Validate

Result:
✔ If a participant scanned at event B does not exist at A, they are created instantly and their check-in is recorded.


3.2 Case 2: Automatic creation from an external platform

🎯 Objective: when a badge from an external system is scanned on Eventmaker, the participant is created and checked in automatically.

Commonly used when:

  • badges originate from an external ticketing system,

  • invitations/tickets were generated outside Eventmaker,

  • you want a completely seamless check-in at the entrance.

Configuration:

  1. Go to Check-in points → Check-in rules

  2. In Create a participant at check-in, define the unique string present on external badges (ex: QR code prefix)

  3. Link the categories together

  4. Save via Validate

Result:
✔ The scan immediately creates a participant + records a check-in.
✔ No intermediate step is required. Set up check-in rules
