This article presents the available features and best practices for optimal entry management.
1. Enabling Basic Check-in
To use check-in with Eventmaker Check-in, the Basic check-in feature must be enabled in the On-site module of your event.
It displays the list of participants and allows their check-ins to be performed manually or via scanning.
2. Sign in to Eventmaker Check-in
Sign in to the app using the same credentials as the web platform for "organizers".
Once signed in, you can:
select the event,
choose the check-in point (Entrance, Conference, Dinner…).
The main menu also allows you to:
change the access point,
synchronize participants,
view real-time statistics,
access configuration settings.
3. Checking in participants (list mode)
Access the list
From the configuration menu, click on Check-in to open the participant list.
Search for a participant
You can search by:
last name,
first name,
company.
This can be done via:
the search bar,
or the magnifying glass icon.
Available actions
By clicking on a participant, you can:
check in,
cancel the check-in,
edit the info,
view the participant record.
If a personal message is configured, it appears automatically.
Visual indicators
Two elements identify a check-in:
a “1” visible to the right of the name,
a green bar on the left.
Color code:
Green: access allowed;
Red: access denied or participant already checked in;
Orange: access at non-compliant times;
Blue: no internet connection, lack of synchronization.
Add a missing guest
If someone was forgotten or an accompanying guest is not registered, you can manually add a participant via the tile at the bottom right.
4. Scanning badges (scan mode)
From the configuration, click on Scan to enable QR code reading.
Characteristics:
the camera opens automatically,
a button allows switching to the list,
it is possible to change the access point from the main menu.
The access rules (green/red) also apply in scan mode.
5. Real-time statistics
Statistics provide an accurate view of attendance:
expected participants,
present,
no-shows,
flow by check-in point.
To access them:
Open the menu (icon at the top left),
Choose Statistics.
The data can also be viewed from the web platform, on mobile or desktop.
6. Data synchronization & offline handling
Eventmaker Check-in works even without an Internet connection.
Check-ins are recorded locally
Synchronization occurs as soon as a connection is restored
To force synchronization: menu → Sending report → Send data
If the button does not appear, all data is already synchronized.
7. Guided access (secure mode for front-of-house staff)
If you delegate access control to staff, you can lock the app to a specific point.
Activation:
Open the menu
Go to Settings
Click on Guided access
Enter your Eventmaker password
This mode prevents any unauthorized configuration changes.
8. Special cases: Events with more than 5,000 participants
Manual check-in (list mode)
Synchronizing more than 5,000 participants locally is not possible.
→ Connect the device to WiFi: the search is performed automatically online.
Badge scanning
Scanning works without a complete synchronization:
→ A WiFi connection is sufficient to scan as many participants as needed.
