A live stream enables live capture of your event and the exchange and presentation of topics with an unlimited number of participants.

📌 Key information

  • Maximum duration : 24 hours

  • No participant limits

  • Session access :

    • Open 5 minutes before the start

    • Closed 30 minutes after the end (speakers remain connected but new visitors can no longer join)

    • No new visitor can enter after these 30 minutes

Add a streaming session

  1. Go to the Program tab from the event back office.

  2. Click on + Add a session, fill in :

3. Fill in the essential fields :

  • Session name & Session type

  • Date, start time, duration and your speakers

4. Type of live : select Streaming

Role of each stakeholder

There are three actors involved in live streaming; two are directly linked to our teams.

  • Production & streaming software (live encoder) Video and audio capture is handled by the production team and through their local live encoder, they can send a live stream to the RTMP broadcast channel. The production team can control encoding settings, audio and various production options (transitions, effects…)

  • Amazon Interactive Video Service (managed through us) RTMP broadcast channel

  • Eventmaker Receives the stream translated by Amazon into HLS and distributes it to viewers.

Once the session type is set to Streaming, a specific Live block becomes available with several settings to refine the broadcast experience.

How does replay work?

We advise organizers to coordinate with the production team to obtain the replay. Production teams can capture audio and video directly during the event.

If you want to set up a replay on Eventmaker, we ask you to have the production team capture it and then provide it to us. Eventmaker developers can then integrate it on your event site in the same place where the live took place.

Important information is :

  • Replay format to provide to Eventmaker : MP4

  • Implementation time on the site : depends on the video size and the number of replays to be integrated. Eventmaker can integrate the replays; allow approximately 20 min / replay for them to be accessible.

Your production team can't record a replay?

If your production team cannot record the replay, please let us know in advance so that we can change the RTMP provider. We will switch from IVS (Amazon) to Da Cast. The latter can capture and record the stream. The integration procedure is exactly the same as for IVS and the restrictions and stream qualities are the same.

However, Eventmaker will provide the production team with additional elements to connect :

  • Login

  • Password

  • Stream URL

  • Stream names

Managing the information flow

In the back office, we create the live session where we can automatically generate the elements the production team needs to broadcast on your Eventmaker site.

What elements should be provided to the production team?

  • Stream URL : Also called RTMP URL it is a network protocol used to stream data between a server and a client

  • Stream key : It is a unique access authentication key for the production team to connect

Example of information available on the session page

Once the session has been created and the information above has been transmitted to the production team, they can start sending their stream to Eventmaker.

Video capture is therefore entirely managed by the production team. The intermediary between the production team and Eventmaker, in this case Amazon, receives the production team's RTMP stream and translates it into HLS so that Eventmaker can receive and broadcast the stream.

When experiencing video or audio streaming issues?

This responsibility lies with the production team, and there are several aspects they can adjust :

  • Network : the minimum bandwidth depends on the video encoding

  • 640p : 2Mb/s

  • 720p : 4Mb/s

  • 1080p : 6Mb/s

⚠️ The maximum input for streaming on Eventmaker is 8.5 Mbit/s with a 1080p resolution.

  • Audio and video resolution

  • 1080p - 5000Kps video - 256Kbps audio

  • 720p - 2500Kbps video - 256Kbps audio

  • 540p - 2500Kbps video - 256Kbps audio

  • 360p - 2500Kbps video - 128Kbps audio

⚠️ The rate control value (rate control) you set in your encoder must always be CBR (constant bit rate) and not VBR (variable bit rate). CBR is better suited for network streaming and provides stability across different devices. In addition, video quality will adapt better based on the users' network.

🧑‍🤝‍🧑 Managing roles and interactions

  • Allow speakers to launch polls during the session
    Useful for energizing the live session, this checkbox allows speakers to add and launch live polls (see the dedicated section below).

  • Send a message to participants 5 minutes before the live starts
    Enables automatic sending of a notification to registrants shortly before the session starts, useful to maximize real-time attendance.

🖼️ Footer banner

  • Ability to import a banner image (recommended format : 728 x 90 px) This allows adding a permanent visual at the bottom of the video stream, ideal for displaying a logo, a URL or sponsor information.

  • Field to add a clickable link associated with this banner.

💬 Chat & moderation

  • Enable chat for the session
    Allows participants to chat live during the webinar.

  • Chat moderation : options available via a dropdown menu :

  • No moderation (default) : all messages are displayed.

  • Active moderation : messages are only visible after a moderator approves them.

  • Passive moderation : the moderator can remove messages afterwards.

☑️ Speakers are moderators by default, but you can appoint additional ones who can be any registered participant of the event.

  • Enable message selection
    Allows moderators, speakers or exhibitors to select certain messages to create a list of questions to address. These questions will appear in a dedicated tab in the Live interface.

Save your changes

Once the session is configured (title, schedule, speakers, type…), click on Save. It will then appear in your session list.

📊 Add a live poll

  1. Enable the option "Allow speakers to launch polls during the webinar".

  2. Add questions :

  • Before the live : via the SAS > Configure interactivities.

  • During the live : via the poll icon to the right of the microphone.

During the live, speakers can :

  • Publish a question.

  • Monitor responses in real time.

  • Stop the vote and publish the results (displayed as a screen share).

⚠️ Only one question can be active at a time.

📲 Interactivity for participants of a hybrid event

You can associate an interactive module with the session (accessible via QR code or personal link) allowing to :

  • Answer speakers' polls

  • Ask questions to your participants

  • Take part in votes

📱 Once scanned, the QR code redirects the participant to the live page linked to the session

💡 Best practices

  • Prepare interactive content in advance (polls, questions, etc.)

  • Anticipate technical needs in the room (Wi-Fi, projection)

  • Display QR codes in the room (visual aids, slides)

  • Plan tests with the production team and possibly the presence of an Eventmaker project manager.
