Creating an Onsite Queue

Updated over a week ago

You want to streamline onsite check-in by allowing certain participants (without a pre-issued badge) to register upon arrival, while giving them dedicated access. To do this, you will use a specific category and an automation to validate entry!

Step 1 – Create an “Onsite Arrival” category

Create a specific category called “Onsite” with a simplified form that contains, for example:

  • A “Last name / First name” field

  • An “Organization” field (optional)

This form will be used only at the dedicated entrance.

Step 2 – Set up the check-in point “Reception”

Associate a check-in point with this new category to integrate it into the flow with participants who are already registered with badges.

Step 3 – Triggering the automation

Create an automation for participants whose category is “Onsite”.

The trigger

When : A participant is created

Filtered on : category = “At reception”

Action 1: Validate their entry to the event

Action 2: 🖨️ Automatically generate and send an email with the QR Code

With this automation, you effectively streamline the onsite welcome flow by separating the pre-registered and arrivals without a badge journeys. You ensure a fast, personalized experience from entry, while maintaining a clean and segmented database.

Time saved for on-site teams, better stats visibility, and a welcome befitting the event.
