Exhibitor Invitation Moderation

In some event contexts, it may be necessary to manually validate each invitation sent by exhibitors before the invitation emails are actually sent.

This feature, originally designed for a specific need, is now available for all Eventmaker events.

It allows the organizer to control invitations one by one, ensuring the quality of the contacts added by exhibitors.


1. Enable invitation moderation

The feature is available from the event's advanced options.

To enable it:

  1. Go to Settings → Advanced options

  2. Check Enable exhibitor invitation moderation

Once enabled, any new invitation created by an exhibitor will automatically be set to "Pending" (pending).


2. New field: invitation moderation status

As soon as an exhibitor adds an invitee:

  • a participant is created,

  • and an additional field appears:
    Invitation – Moderation status

As long as this status is not approved by the organizer -> No invitation email is sent but as soon as the status changes to Accepted, the invitation email is sent automatically.


3. Process moderation: accept or reject

The organizer can change the status:

From the bulk actions in the participant list -> useful for multiple invitations From the participant record -> to review a specific case before validation

Possible statuses include:

  • Pending

  • Accepted

  • Rejected


3. Use cases

This feature is useful when:

  • exhibitors add sensitive or premium contacts,

  • the organizer wants to control the quality of invitations,

  • some events require a strict level of participant validation (specialized conferences, highly targeted B2B trade shows…).

Conclusion

Exhibitor invitation moderation provides an additional level of control, particularly useful for events requiring a strict validation of guests added by exhibitors.
Easy to enable and easy to manage, it integrates naturally into the existing invitation workflow in Eventmaker.
