Participant Task Manager

It allows organizers to create and track tasks that their guests must complete before or during the event: upload a logo, create collaborators, send their invitations, complete a form, etc.

Although this feature is particularly useful for exhibitors, it applies to all participant types.

It consists of :

  • a configuration area in the back office for the organizer,

  • a new dedicated interface in the participant's personal area, allowing them to track and complete their tasks.

  1. Create and configure a task

1.1 Main information

A task consists of several essential elements :

  • Task name

  • Description (displayed to the participant → use clear wording)

  • Deadline (optional) : encourages the participant to complete the task before a key moment

  • Targeted segment : only participants belonging to the selected segment will see this task in their personal area.


1.2 Task completion modes

There are 2 modes :


A. Manual mode

The participant indicates themselves that they have completed the task.
Ideal for actions that cannot be detected automatically (ex: “I booked my hotel”).


B. Automatic mode

The task is automatically considered completed as soon as a predefined condition is met.

Available condition types include, for example :

  • uploading a logo,

  • creating collaborators,

  • adding products,

  • sending invitations,

  • completing a form,

  • filling a specific field.

The choice of condition depends on the type of task to monitor.


1.3 Support actions for the participant

You must link the step to a web page or to a form step; this makes it easier for your participants to complete the various steps and also guides them to discover your website.


2. Task-related notifications

Three types of notifications are available :

Publication notifications

Optional

Assignment notifications

Automatic

Reminder notifications

If deadline

When a task is published, the organizer can choose to send an instant notification to all affected participants.

⚠️ Beware of notification overload

A participant can assign a task to one of their collaborators.
→ The collaborator automatically receives a notification.

This notification cannot be disabled.

If a deadline is set, reminders are sent for incomplete tasks :

  • 1 week before,

  • 3 days before,

  • 1 day before,

Notification format

Depending on your event settings, a notification can take the form of :

  • an email,

  • a chat message,

  • a web push notification.


3. Participant interface (Website Section)

A new section "Tasks" is available on the event website once the feature is enabled.

The participant can :

  • view assigned tasks,

  • see their progress,

  • access required pages directly,

  • assign a task to a collaborator,

  • track any deadlines.

The assigned collaborator then receives the deadline reminders instead of the original participant.


4. Completion tracking in the back office

In the Tasks tab, the organizer can track in real time which participants have completed which tasks. A dedicated view allows quick filtering and analysis of participants' progress.
