An accommodation management feature exists on the Eventmaker platform. It allows you to offer your accommodation offer directly in your Eventmaker forms, managing room types, price, quotas...

A specific check-in point

We add a new type of service in the form of check-in points: accommodations. A new tab has been added to the main navigation.

An accommodation therefore corresponds to one night in a room type at a specific establishment. It is possible to assign a capacity and different rates to each accommodation. For example, on January 21, 2020, the Ibis Hotel has 10 double rooms available for a price of €80 per night.

Configuring your accommodations

You can configure different aspects in accommodations:

  • an establishment (hotel, hostel...)

  • a room type (single, double, suite...)

  • a date for the stay

  • a room quota

  • a rate

  • a description

  • an illustration

Thus, if, for example, you have the Hilton Hotel offering 15 double rooms and 3 royal suites for the nights of July 14, 15 and 16, 2020, you will have:

  • an accommodation for the double room on July 14 with a quota of 15

  • an accommodation for the double room on July 15 with a quota of 15

  • an accommodation for the double room on July 16 with a quota of 15

  • an accommodation for the royal suite on July 14 with a quota of 3

  • an accommodation for the royal suite on July 15 with a quota of 3

  • an accommodation for the royal suite on July 16 with a quota of 3

So 6 items to configure just for this hotel.

You can then imagine that this can very quickly become difficult to manage from the back-office form when you have X establishments, Y room types and N nights.

Importing your accommodations

Fortunately, the import feature is here to help, and with a simple export/import you can easily create and update your list of accommodations.

On the form

  • The default mode lets you choose which check-in points of type Accommodation you want to add to your form.

  • The advanced mode allows you to filter accommodations by metadata. If no filter is set, all accommodations are displayed.

Display on the website

The behavior of the accommodation module on forms remains largely unchanged. The participant must first enter their accommodation dates and desired room type, and from this information we calculate the available establishments and display them in the dropdown list.

The Registration Summary section on the website and in emails now provides a summary of the selected accommodations.

⚠️ We do NOT actually make ANY reservations in the hotels selected by participants. This is data for the organizer, who will be responsible for making the actual appropriate reservations.
