Send your leads to your CRM

Introduction

Exhibitors can automatically send their leads to the CRM of their choice using the Eventmaker Leads to CRM app on Zapier.

This documentation provides a guide to connect the Eventmaker Leads to CRM app and create Zaps in Zapier to automate the transfer of leads to your CRM.


Prerequisites

Before starting, make sure the following items are ready:

  • Qualification fields are configured

  • Lead export is correctly set up (by the organizer)

  • Have qualified at least one lead from the KeepTrack app


1. Retrieve your Token in the exhibitor area

To connect the Eventmaker Leads to CRM app to Zapier, you will need to retrieve your Token and use it during setup on Zapier. Find the token in your exhibitor area.


2. Configure your Zaps in Zapier

You will need to create two Zaps:

  • One for creating new leads

  • One for updating leads

Each Zap uses a trigger and an action. Start by configuring the trigger.

  • Select Eventmaker Leads to CRM as the app

  • Choose "New lead" as the trigger event

  • Paste your Token to connect the app

  • Run a test by selecting a record from your most recent leads

Action configuration

  • Choose HubSpot as the action app

  • Select "Create a contact" as the action event

  • Connect your HubSpot account

  • Map the fields you want to send to HubSpot

  • Test the Zap: if the test succeeds, a test contact will be created in HubSpot

  • Publish the Zap

When you qualify a lead in Eventmaker, you update it. A second Zap is therefore required to send these updates to your CRM.

Trigger configuration

  • Select Eventmaker Leads to CRM as the app

  • Choose "Lead update" as the trigger event

  • Paste your Token to connect the app

  • Run a test to verify the connection

Actions configuration

Two actions are required in HubSpot :

  1. Find a contact

  • Connect your HubSpot account

  • Use a unique identifier such as the email address to locate the contact

  • Run a test to confirm

2. Update a contact

  • Use the contact found in the previous step (Object ID)

  • Configure the fields you want to update in HubSpot

  • Perform a test to validate

  • Publish the Zap

3. Tracking

You can monitor and manage your Zaps directly from the Zapier dashboard. Check the run history, success/failure rates and logs to verify that everything is working correctly.

⚠️ Important note

If you change the qualification fields or the export columns in Eventmaker, you will need to refresh your Zap trigger by following these steps:

  • Reopen your Zap in Zapier

  • Reconfigure the steps

  • Click on "Find new records" during the trigger test phase
